How to use the time card calculator

Enter one shift per line using start time, end time and unpaid break minutes. Times use a 24-hour clock, so 13:30 means 1:30 PM. A row such as 09:00,17:30,30 equals eight paid hours.

  1. Enter or paste the shifts.
  2. Confirm unpaid breaks in minutes.
  3. Enter the hourly rate and overtime rule.
  4. Check each row and the weekly totals.

Calculate hours worked

The engine subtracts the start time from the end time and then removes the unpaid break. If the end is earlier than the start, the shift is treated as crossing midnight. A single shift may not exceed 24 hours before its break.

paid minutes = end − start − unpaid breakdecimal hours = paid minutes ÷ 60

Weekly overtime estimate

The U.S. Department of Labor says covered nonexempt employees generally receive at least one and one-half times their regular rate for hours over 40 in a fixed, recurring 168-hour workweek. The calculator defaults to 40 and 1.5 but exposes both inputs because a different rule may apply.

It totals the entered rows as one modeled workweek. It does not move a shift across payroll weeks or decide whether a worker is exempt.

Gross pay calculation

Regular hours are paid at the entered hourly rate. Hours above the chosen threshold use that rate multiplied by the overtime factor. The result is gross pay before taxes, benefits, garnishments or other deductions.

regular pay = regular hours × hourly rateovertime pay = overtime hours × hourly rate × multipliergross estimate = regular pay + overtime pay

Rounding, breaks and payroll limits

Calculator24 retains exact minutes and converts them to decimal hours, avoiding cumulative rounding inside the weekly total. Payroll systems may use lawful rounding policies, paid breaks, shift differentials, bonuses or a regular-rate calculation that changes the final check.

Use the downloadable table to compare rows with the employer time record, then rely on the official pay statement for wages actually due.

Frequently asked questions

How do I enter a time card?

Use one start,end,break-minutes row per line, such as 09:00,17:30,30.

Can a shift cross midnight?

Yes. An end time earlier than the start is treated as the following day.

When does overtime start?

The default is after 40 hours in the modeled week, but eligibility and rules vary; set the threshold that applies.

Does the result include taxes?

No. Pay is a gross estimate before deductions.

Can I print or export the time card?

Yes. Use Print / PDF or Download CSV after the result updates.

What to keep in mind

This is a planning estimate. Overtime eligibility, the regular rate, rounding, breaks and workweek boundaries depend on applicable law and employer policy.

Results display up to 8 decimal places; exported numbers preserve calculation precision. This is a calculation summary, not an official certificate.
